Position: Departmental Coordinator

Qualification : Any Graduate

Experience: 3.00 yrs to 12.00 yrs

Location : Mumbai

JD:

· Provide secretarial and administrative support to the Director (HOD) and Consultants.

· Manage the Director’s calendar and publish daily schedules.

· Coordinate internal and external meetings; send agendas and manage visitor coordination.

· Take minutes during meetings and ensure timely follow-up and communication of action points.

· Prepare and maintain departmental and conference reports; support academic activities.

· Handle telephone enquiries from internal staff, patient relatives, and external contacts.

· Maintain office stationery stock and manage records of disbursement.

· Manage patient flow in OPDs according to schedule and appointments.

· Coordinate with the Director to ensure adequate booking of appointments as prescribed.

· Liaise with concerned teams to ensure completion of scheduled activities and appointments.

· Maintain and publish rosters for Consultants and Resident Doctors.

· Track and coordinate leave calendars for departmental staff.

· Act as the Single Point of Contact (SPOC) for VIP patients; ensure smooth coordination from admission to discharge.

· Collaborate regularly with Marketing, Operations, and other departments to ensure smooth functioning.

· Participate actively in quality improvement programs; ensure adherence to standards like JCI and NABH.

· Ensure optimal utilization of departmental resources and prevent wastage or misuse.

· Coordinate CMEs, symposia, and other academic events.

· Assist in preparing presentations, reports, and publications.

· Provide suggestions and feedback to improve departmental services.

· Attend all required departmental and hospital training and professional development programs.

· Provide coverage support in the absence of colleagues when required.

· Adhere to organizational policies, procedures, protocols, and values.

· Perform any other responsibilities assigned by the Director on a need basis.
