Job Description

This is a 12-month fixed-term appointment (FTA) with the possibility of becoming permanent and the salary for this role is £ 27,202 Onsite working is expected for 3 days a week, however, we actively support requests for flexible working.

This role can be based at any of the following sites; Culham, Oxfordshire.

This role requires employees to complete an online Baseline Personnel Security Standard (BPSS), including The Disclosure & Barring Service (DBS) checks for criminal convictions and possibly a search of open source data.

The Role

As Computing Division Secretary, you will play a pivotal role to provide confidential PA support to directors, to enable them to reach their targets and deliver their strategic goals and/ or to provide secretarial support to the rest of the division in their contribution towards achieving the UKAEAs objectives and strategies for their area.

Additional Responsibilities:

• Organise one or more Director's diaries, arrange travel, training courses, meetings, site visits, and a variety of other activities using the tools and systems provided.

• Co-ordination of email, written, and verbal communications prioritising as appropriate. Co-ordinates, and may draft, correspondence for internal and external contacts. May prepare agendas and minutes of various meetings and committees either on or off-site as required. May monitor meeting outcome progress, identifying follow up actions needed.

• Provide accurate up-to-date information and maintain records through the use of essential databases, spreadsheets and paper-based systems. Checks for accuracy, consistency, error, omissions, resolving anomalies when identified. Following existing internal and external processes and adapting to new systems and processes in line with organisational development.

• Provide travel booking and event planning services for members of the division. This includes organising UK and international travel and planning workshops, meetings and events for the Computing Division.

• May co-ordinate the meeting and greeting, hosting of, internal and external visitors from a wide variety of organisations and locations around the world. The provision of support for events.

• May make purchases on behalf of the department/division, as instructed and in line with financial derogations. Checking authorisations and receipts against spend, highlighting any concerns.

Qualifications

Essential Requirements:

An appropriate qualification in administration or secretarial skills
Demonstrable administrative experience
Strong interpersonal and communication skills
Excellent computer skills with the ability to use the Microsoft Office Suite
Proven ability to cope with multiple tasks and prioritise appropriately.

Other Duties:

Display Screen Equipment Assessor for Computing Division
Fire Marshall as and when necessary
Data processing using the ELECTRA information management system
